Position Overview

As an Administrative Assistant , you are responsible for providing clerical and administrative support by processing invoices from truck routes, creating/proofreading reports and other office-related functions.


  • Overview: Provides administrative support to the Vice President on a daily basis and the Hawaii Sales Team as required. Acts as interface between employees, vendors and customers, and may represent the company on behalf of Vice President. Prepares various reports on a daily/weekly basis for internal and external distribution. Prepares quarterly presentations for management and associates, as well as customers.

  • Provide administrative support to the VP including but not limited to composing correspondence and announcements, handling calls, scheduling meetings, making travel arrangements, and completing and submitting expense reports

  • Provide support to the Hawaii Sales team including but not limited to preparing and distributing documents, reports, and presentations using Microsoft Word, Excel and PowerPoint

  • Assist with the coordination of the twice yearly food show on the West Coast. Responsibilities include but are not limited to preparing related materials for attendees from Hawaii; distributing the materials, handling registration, and making travel arrangements for VP, sales associates and Hawaii customers

  • Monitor office supply inventory for the Hawaii Division and order office supplies as necessary

  • Complete and submit purchase card transactions

  • Plan and organize various management and staff events. Recommend locations, make final selection, determine room set-up and menus, and create and modify agenda as requested

  • Manage daily administrative tasks (filing, photocopying, mail, faxing, etc.) and monthly mass mailing

  • Assist with the coordination of annual community events

  • Manage conference room calendars; assist in organization and preparedness

  • Create and maintain filing system

  • Coordinate conference calls and appointments with multiple participants

  • Other duties as assigned


  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience

  • Good verbal and written communication skills; listen and get clarification; respond well to questions; edit work for spelling and grammar; present numerical data effectively

  • Computer experience, including database software; Human Resource systems; Payroll systems; spreadsheet and Word processing software

  • Math skills: able to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals

  • Frequently required to site

  • Legally authorized to work in the United States or the ability to obtain the same

  • Compliance with all company policies and procedures

  • Successful completion of pre-employment drug testing and background check
