As Receptionist , you will be the first point-of-contact for customers, vendors and business partners visiting or calling our Corporate Offices.
Operate Main telephone switchboard
Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
Answer incoming calls, greeting callers, providing information, transferring calls or taking messages as necessary.
Contact individuals to inform them of telephone calls, using interoffice communication equipment or email
Relay or route written or verbal messages.
Perform various data entry or word processing tasks, such as updating phone directories
Route emergency and routine calls appropriately.
Visitor Check-in/Badge Issuance
Greet persons entering Company, determine nature and purpose of visit, and direct or escort them to specific destinations.
Provide information about Company, such as location of departments or offices, employees within the organization, or services provided.
Monitor and authorize entrance and departure of employees, visitors, and other persons visiting the Company
Issue visitors/staff badges, maintain visitor log, and provide Front Desk Emergency Operations Procedures as directed
Prepare Weekly New Hire Onboarding Materials In accordance with Supervisor instructions
Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating computers to work with spreadsheets, reports, or other documents.
Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and desktop computers.
Complete other tasks as assigned
High school diploma or general education degree required. (Associate preferred)
Minimum 12 months customer service related work experience required, preferably in a receptionist position.
Knowledge and experience with multi-phone line system.
Exceptional organizational, communication and interpersonal/customer service skills.
Ability to handle several visitors and phone calls simultaneously.
Ability to listen to and understand the needs of internal and external customers and respond professionally.
Being proactive, flexible and versatile with project work.
Must be familiar with data entry and be acquainted with Microsoft Office Programs (Basic Level Proficiency required in Outlook, Excel, Word)
Manual dexterity to include wrist motion and eye/hand coordination. Sitting and standing for extended periods of time. The individual is regularly required to sit for long periods, speak and hear, use a telephone, read and interpret data, and have sufficient body flexibility and personal mobility that permits working in an office setting.
